Informing the traveller
The travel organizer is required to inform the traveller in accordance with the applicable legal rules. The information provided must be complete and correct, provided in a timely manner, and made available in writing.
Information to be provided before concluding the travel agreement
Where information about the trip is made available—for example through a brochure or on a website—it must include all essential information required for the traveller to make an informed decision. This includes, at a minimum:
- Company details: business name, address, telephone number, email address, and Chamber of Commerce registration number;
- The total travel price, including applicable costs;
- Protection against financial insolvency, such as bankruptcy coverage.
Additional recommended information:
It is recommended that the following information is also provided:
- Main characteristics of the trip, including dates, destination, transport details, and accommodation information;
- Payment arrangements, such as deposits and instalments;
- The minimum number of participants, where applicable.
Information session
Where an information session is organised to present or sell the trip, all information provided during that session must also be complete and correct.
Exception: Last-minute bookings
An exception applies to last‑minute bookings. Where the travel agreement is concluded less than 72 hours before the start of the trip, the special information obligations that apply before concluding the travel agreement do not apply. All other information obligations remain applicable, including the obligation to provide the general terms and conditions.
Information to be provided when concluding the travel agreement
Before the traveller departs, the travel organizer must provide additional information, including:
- Essential travel details, such as transport and accommodation information;
- Contact details of a local representative and/or an emergency contact number.
Note:
Where general terms and conditions apply, the travel organizer must draw the traveller’s attention to them and make them available, either in copy or electronically.
This may be done before or at the moment of concluding the travel agreement.
